How Prophic collects, uses, and protects your data.

Plain English Summary

Prophic is a B2B SaaS tool. We collect data you give us and data generated by your use of the product. We share it with a defined list of sub-processors but we don't sell it. You own your content. If you're in the EU or California, you have specific rights described in Section 8.

1. Who We Are

Prophic is a product of SociiLabs LLC, incorporated in the State of Wyoming, USA (30 N Gould St Ste R, Sheridan, Wyoming 82801). When this Privacy Policy says "Prophic", "we", "us", or "our", it refers to SociiLabs LLC.

Prophic is a B2B SaaS platform that helps agencies and service teams scope, price, and propose projects. This policy applies to data collected through our marketing website at prophic.ai, our web application at app.prophic.ai, and any related services we operate.

2. What We Collect

Account and profile data

  • Name, work email address, and password (stored as a hashed value — we never store plaintext passwords)
  • Organization name, logo, and billing address
  • Profile photo (optional)

Usage data

  • Pages visited, features used, button clicks, and session duration inside the app
  • Device type, browser, operating system, and IP address
  • Referring URL and UTM parameters
  • Error logs, crash reports, and performance metrics

Content you create

  • Project briefs, scope documents, quotations, and proposals you generate in Prophic
  • Customer records, service role configurations, and template data you input

Communication data

  • Email address and preferences for transactional and product emails
  • Support messages and feedback you submit

Payment data

Payment details are collected and stored directly by Stripe, Inc. We receive only a payment confirmation token and the last four digits of your card. We never see or store raw card numbers.

3. How We Use Your Data

Deliver and operate the service

  • Analyze usage patterns to prioritize features and fix bugs
  • Conduct A/B tests to improve workflows

  • Send product updates and changelog announcements you have opted into
  • Notify you of changes to these policies or your subscription

Security and compliance

  • Detect and prevent fraud, abuse, and unauthorized access
  • Comply with applicable law and legal process

This list is updated when we add or remove sub-processors. Material changes will be reflected in our policy changelog.

5. Data Sharing

We do not sell your personal data.

We share data only in the following circumstances:

  • With sub-processors listed in Section 4, under written agreements that restrict their use to services they provide to us.
  • Within your organization, when your account is part of an organization workspace. Administrators can access account data and project content within that workspace.
  • For legal compliance, when required by law, court order, or valid regulatory process. We will attempt to notify you before disclosure where legally permitted.
  • In a business transfer, if SociiLabs LLC is acquired, merged, or sells substantially all its assets. We will notify users before personal data is transferred under different privacy terms.
  • With your explicit consent, in any other circumstance.

6. International Data Transfers

SociiLabs LLC is based in Wyoming, USA. If you access Prophic from outside the United States — including from the EEA, UK, or Switzerland — your data will be transferred to and processed in the United States.

We rely on the following safeguards for international transfers:

  • Standard Contractual Clauses (SCCs) approved by the European Commission, incorporated into our data processing agreements with EEA-based sub-processors
  • Data Privacy Framework (DPF) participation by qualifying sub-processors where applicable
  • Adequacy decisions for transfers to countries the European Commission has recognized as providing adequate data protection

A Data Processing Addendum (DPA) is available to enterprise customers on request. Contact legal@prophic.ai.

After these periods, data is deleted or anonymized. We may retain data longer if required by applicable law or to defend a legal claim.

8. Your Rights

All users

  • Access — Request a copy of the personal data we hold about you
  • Correction — Ask us to correct inaccurate or incomplete data
  • Deletion — Ask us to delete your data
  • Portability — Receive your data in a structured, machine-readable format
  • Withdraw consent — For processing based on consent, you may withdraw at any time

EEA, UK, and Swiss users (GDPR / UK GDPR)

All rights above, plus:

  • Object to processing — Object to processing based on legitimate interests, including direct marketing
  • Restrict processing — Ask us to pause processing while a dispute is resolved
  • Complaint to a supervisory authority — You may lodge a complaint with your local data protection authority at edpb.europa.eu.

California users (CCPA / CPRA)

  • Right to know what personal information is collected, used, shared, or sold
  • Right to delete personal information
  • Right to correct inaccurate personal information
  • Right to opt out of the sale or sharing of personal information (we do not sell data)
  • Right to non-discrimination for exercising your rights

To exercise any right, email legal@prophic.ai. We will respond within 30 days for GDPR requests and 45 days for CCPA requests. We may need to verify your identity before processing your request.

9. Cookies and Tracking

We use cookies and similar technologies on prophic.ai and in the app.

You can manage cookies via our cookie banner (shown on first visit to prophic.ai) or your browser settings. We implement Google Consent Mode v2 so GA4 only loads after you accept analytics cookies in jurisdictions where consent is required.

10. AI Features

Important

When you use an AI feature in Prophic, the content you enter is transmitted to a third-party AI model provider to generate a response. We do not use your content to train AI models. You retain full ownership of all AI-generated output.

What is sent to AI providers

When you use an AI feature, the project brief, client details, or configuration data you enter is sent to a third-party AI model provider. The provider depends on which feature you use and may include (but is not limited to) OpenAI, Anthropic, and Google.

We do not train models on your data

Our agreements with AI providers restrict them from using your submitted content to train or improve their models.

Do not submit sensitive personal data

Do not enter health information, financial account numbers, government ID numbers, biometric data, or other special category personal data into AI prompts. AI features are designed for project scoping and business content.

AI provider sub-processors

AI providers in use are listed in the sub-processor table in Section 4. We update this table when providers change.

11. Children's Privacy

Prophic is a B2B platform intended for business users. We do not knowingly collect personal data from anyone under 18 years of age (or the applicable age of digital consent in their jurisdiction, which may be up to 16 in some EEA countries).

If we become aware that we have collected data from a minor, we will delete it promptly. Contact legal@prophic.ai if you believe a minor's data has been submitted.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do:

  • We update the "Last updated" date at the top of this page
  • For material changes, we send email notice to the primary account email on file at least 14 days before the change takes effect
  • For non-material changes (corrections, clarifications), we update the page without separate notice
  • A changelog of past versions is maintained at prophic.ai/legal/changelog

Continued use of Prophic after the effective date of a material change constitutes acceptance of the updated policy.
